ALL SESSIONS ARE HELD IN MARC 412 FROM 1-2:30 PM ON THE DAYS LISTED UNLESS OTHERWISE NOTED.  DATES AND TIMES ARE SUBJECT TO CHANGE.  IF YOU WOULD LIKE TO REQUEST A TRAINING SESSION AT YOUR COLLEGE OR CENTER, PLEASE CONTACT VERONICA APPLEBY IN THE OFFICE OF RESEARCH AT 305-348-2494.  NOTE THAT FOR A TRAINING TO OCCUR AT A COLLEGE OR CENTER, THERE MUST BE AT LEAST TEN TRAINING PARTICIPANTS AND THE COLLEGE/CENTER WILL NEED TO ARRANGE FOR A TRAINING ROOM WITH AN OVERHEAD PROJECTOR THAT CAN BE CONNECTED TO A LAPTOP.

THE MANAGING GRANTS IN PEOPLESOFT AND PEOPLESOFT GRANTS SUITE OPEN LAB SESSIONS WILL BE HELD IN EITHER GL 265 OR BBC LIB 124. PLEASE REFER TO THE TRAINING DESCRIPTION BELOW FOR EXACT DATES, TIMES AND LOCATIONS.

AWARD PROCESSING

This session will address how awards are processed for sponsored projects, including who may negotiate and execute award documents, when awards will be set-up in Panthersoft, when project staff may begin working on an awarded project, compliance issues for award set-up and issues that may be involved during award negotiation process including: intellectual property, publication limitations, limitation on open disclosure of project information, export control. General compliance approvals required before award set-up will also be addressed including: IRB, IACUC, IBC, EH&S, conflict of interest, nepotism, export control, Jessica Lunsford Act. (A more comprehensive session on compliance issues will be separately given as noted below.) Principal investigators and their project support staff who are new to Sponsored Research at FIU or who wish updated information on how awards are processed at FIU should attend this session.

BUDGET PREPARATION

This session will cover the requirements for budget preparation for sponsored projects, including a discussion of the OMB Circular provisions covering what costs are allowable, when clerical and administrative costs may be directly charged on projects and the administrative review required and what charges may be charged to federally sponsored projects as opposed to projects sponsored by other entities. Other budget topics to be addressed are: cost share, stipend/tuition/student payments, consultant services, salary and wage charges. Persons wishing to submit a proposal for external funding and who are new to proposal writing should attend this training.

COMPLIANCE ISSUES

The University Compliance Officer and representatives from the Office of Sponsored Research, the Office of Research Integrity and the Department of Risk Management and Environmental Health and Safety will provide training on compliance issues pertinent to proposal preparation, award negotiation and post-award project administration and the procedures for the administration of those compliance issues at FIU including: compliance issues at proposal time, compliance issues during award negotiation and compliance approvals required before award set-up including. The following compliance matters will be addressed: compliance approvals needed prior to award set-up including IRB, IACUC, IBC, conflict of interest, nepotism, export control and Jessica Lunsford Act. Anyone wishing to conduct research at FIU or currently is conducting research at FIU should attend this session.

CONFLICT OF INTEREST IN RESEARCH

This session will address the Conflict of Interest in Research policy at FIU, the disclosures required from faculty and staff and the review process for potential conflicts of interest. Anyone wishing to pursue research at FIU should attend this session.

EFFORT REPORTING & CERTIFICATION

This training will address the requirements of the effort reporting system, the applicable OMB circular provisions, how and when faculty and staff must certify their efforts and the consequences for failure to timely certify. As faculty members and research staff of this University your attendance at the training is strongly encouraged in order to comply with the federal regulations of effort reporting. All offices that might have the responsibility for managing the effort reporting process are invited to attend these sessions if they have not attended previously. Departmental Administrators and other key research personnel are requested to participate in this activity as well. A mutually supportive relationship is the key to accomplishing the goals of those involved with effort reporting.

ETHICS AND AWARENESS OF FIU'S CODE OF CONDUCT

The Office of the General Counsel and the Office of Compliance will address ethics requirements of all FIU and sponsored project staff, will discuss FIU’s standards and procedures relating to the code of conduct required from all employees, including ethics requirements in the purchasing process. All FIU employees should attend this session.

EXPORT CONTROL

The University must conduct its academic and business operations in compliance with export controls. These export controls consist of federal laws and regulations that regulate the distribution of strategically important technology, services, and information to foreign nationals and foreign countries for reasons of foreign policy and national security. Export control laws apply to all activities, not just sponsored research projects. The Office of Sponsored Research Administration and the University Compliance Office will provide this presentation on the export control laws in a continuation of the University's efforts to provide education and training to those individuals within the University community who work in areas or conduct activities that may be subject to these laws and who may benefit from this presentation. Discussed will be an overview of the law and University policy as well as a brief demonstration of a software tool the University uses in order to assist in its export controls compliance efforts. Note that any project where OSRA has identified export control requirements that is accepted by OSRA may not be commenced until the Principal Investigator has undergone this export control training.

INTELLECTUAL PROPERTY

An attorney from the Office of the General Counsel and a representative from the Office of Intellectual Property Management will discuss the policies and procedures applicable to intellectual property at FIU, including when FIU faculty and staff must disclose inventions and the process for such disclosures, and the invention review process at FIU. An overview of the functioning of the Office of Intellectual Property Management will also be provided as well as student participation and confidentiality agreements. Persons who may develop inventions during their work at FIU should attend this session.

OSRA MANAGING GRANTS IN PEOPLESOFT

The Learning objective of this course is to educate the FIU Research Community about the PeopleSoft Grants Suite in order to effectively manage awarded research contracts and grants.

  • Understanding and Running Grants Reports, Queries and Inquiries

PAYROLL AND NON-PAYROLL TRANSFERS

This session will explain what constitutes payroll and nonpayroll transfers, when such transfers are permissible and how payroll and nonpayroll transfers are processed at FIU. Principal investigators and their support staff who are new to sponsored research administration at FIU should attend this session.

PEOPLESOFT GRANTS SUITE OPEN LAB

Grants Open Labs provide you the opportunity to bring real life examples to practice what you have learned in the ‘OSRA Managing Grants in PeopleSoft’ workshop or online training. OSRA staff will be available to assist and answer questions. Registration is not required and seating at the Open Lab is available on a first-come, first served basis.

PROCESSING SPONSORED RESEARCH AGREEMENTS OTHER THAN AWARDS

Discussed in this session will be how agreements relative to sponsored research, other than award documents, are processed in FIU, including material transfer agreements, confidentiality agreements, teaming agreements, memoranda of understanding. A representative from the Department of Risk Management and Environmental Health and Safety will also be available to answer questions about the shipping, storage and disposal requirements pertinent to hazardous material which is the subject of material transfer agreements. Principal investigators and their project support staff who are new to Sponsored Research at FIU and may need to process an agreement through Sponsored Research should attend this session.

PROJECT CLOSE-OUT

This session will address the close-out of sponsored projects including: overexpenditures and disallowances, cost share tracking and reporting, final report copies to Post-Award, record retention requirements, audit procedures. Principal Investigators and their project support staff who have a sponsored project at FIU should attend this training to ensure understanding of the close-out procedure.

PROPOSAL PREPARATION AND PROCESSING

This session will provide greater detail on proposal processing at FIU including applicable policies and procedures, who may submit proposals at FIU, minimum level of effort required for principal investigators, internal clearance procedures, what comprises a complete proposal, documentation requirements from proposal collaborators, time deadlines for proposal submissions and how proposals are selected and processed when there is a sponsor limit to the number of proposals that may be submitted. General compliance issues pertinent to proposal submissions will be briefly addressed; however, a more comprehensive session on compliance issues will be separately given as noted below. Persons wishing to submit a proposal for external funding and who are new to proposal writing or who wish to learn about OSRA’s updated policies should attend this training.

PURCHASING IN SPONSORED PROJECTS

Training will be provided on the policies and procedures relative to how goods and services may be purchased for sponsored projects. Topics to be covered include: processing vendor contracts, subcontracts, consulting agreements, subawards to foreign entities, payments to human subject participants, use of Pro Card and travel purchases. The sponsored research purchasing exemption will be explained as well as navigating InfoEd and PeopleSoft in the purchasing process. Principal investigators and their project support staff who are new to Sponsored Research administration at FIU or who wish updated information on sponsored research purchasing in light of updated Panthersoft processes should attend this session.

RESEARCH INVOLVING HUMAN SUBJECTS

This presentation will provide information on how to conduct research with human subjects and will answer specific questions about the Institutional Review Board (IRB) submission process and procedure.

UNDERSTANDING SPONSORED RESEARCH ADMINISTRATION AT FIU

What you need to know to navigate the process from proposal to award to project close-out. This monthly session will provide an overview of the administrative functioning of Sponsored Research at FIU, including how to process a proposal or project transfer through the required channels at FIU, the organization and functions of the various offices within the Office of Research, a general overview of the policies and procedures of the Office of Research and the interaction among the various FIU departments and units and Sponsored Research administration. Persons new to the sponsored research process at FIU or wishing to submit a proposal for external funding should attend this training.

VARIOUS POST-AWARD ISSUES

This session will cover several issues relating to the post-award administration of a project once the award has been set up. Issues that will be addressed are how to process: budget modifications, no cost extensions, cost share tracking and reporting, stipend/tuition/student payment, collection process and personnel issues. Principal investigators and their project support staff who are new to Sponsored Research administration at FIU or who wish updated information on sponsored research purchasing in light of updated Panthersoft processes should attend this session.
