- Commercially available videorecordings (other than feature films)
- English-language feature films
- Foreign-language feature films
- Video releases of TV programs
- Unpublished
- Off-air videorecordings
- Locally produced videorecordings
Ia. Published - Commercially available videorecordings. These are just like trade books, available from publishers, distributors, etc.
Example: See (System no 985820) Identity theft. This is a standard production, featuring a current topic.
The first thing is to check the bib record in NOTIS to see if it matches what we have in hand. The containers have a lot of information. Check for ISBNs, series, aspect ratio ("wide screen", "Letterbox", etc.) Closed captioned, the video recording number on the spine label (028 42 tag) and the distributor and date.
Main entry is almost always under title for motion pictures and videorecordings, because authorship is diffuse, and mainly corporate.
FIXED FIELD:
D/CODE      Use code "s" except for feature films - see below. Note that "s" is used even for made-for-TV movies. Broadcasting on television does not constitute publication; thus, only the date when the video was published is used in the 260 and the fixed field.
DT/1      Date one is for the videocassette release
DT/2      In cataloging made-for TV movies, watch for television program broadcast dates in the fixed field. This is incorrect and the DT/2 should be blank.
PLACE - Place of publication should be coded for the country of production, not distribution, i.e., if the work is a production of the British Broadcasting Corporation, then use "enk", not what appears in the 260 |a.
Use fr for French films, ja for Japanese films, etc.
007 field for a vhs videocassette:
GMD,v,SMD,f,O/R, ,COLOR,c,V/FMT,b,SOUND,a,MEDIUM,h,DIM,o,KSND,u,
Note: O/R is left blank
KSND means kind of sound--that is, mono, stereo, or quadraphonic, Encode m, s, q, or leave u for unknown.
007 field for a DVD:
GMD,v,SMD,d,O/R, ,COLOR,b,V/FMT,v,SOUND,a,MEDIUM,i,DIM,z,KSND,m,
Note: V/FMT (videorecording format) is now v for DVD, watch for the earlier code of "g", for video laser discs.
VARIABLE FIELDS:
028 If there is an 028 field, set 1st indicator to 4 and 2nd indicator to 2.
TKR all UP videocassettes, add the tickler:
TKR: : |a (FMFIU) AVUP VHS LC CLASSED RRC DC
TKR For all BBC videocassettes, add the tickler:
TKR: : |a (FMFIU) AVNM VHS LC CLASSED DC
TKR For all UP DVDs, add the tickler:
TKR: : |a (FMFIU) AVUP DVD LC CLASSED RRC DC
TKR For all BBC DVDs, add the tickler:
TKR: : |a (FMFIU) AVNM DVD LC CLASSED RRC DC
245 The title proper should be immediately followed by |h [videorecording]
If there are variations in the titles on the piece, select as the title the one found in these sources in this order of preference:
title frames
cassette label/disc
container
accompanying materials
By convention, it is not necessary to bracket title or credits information taken from the cassette label surface, or container. However, if the title is taken from either of these two sources, there should be a source-of-title note:
500 Title from cassette label, etc.
500 Title from container.
In the 245 |c statement of responsibility, remove any personal technical credits from this field-that is, narrator, producer, director, assistants, associates, etc.
Authorship of media materials may consist of a sponsor and a production company or companies. The sponsor is the entity responsible for the existence of the work either by producing it or by having it produced by someone else. It is not always clear who did what to whom, so transcribe statements as found from the beginning credits, or (as usually the case) from the end credits.
See Taxes and you (System no 761728), for an example of a long statement of responsibility. Note that in this example an added entry was made for the IRS, although they are the funding agency according to the notes, and are not included as an author. This was done because someone may look under the IRS as an author.
246 3 Make entries for variant titles.
250 For DVDs, if there is only one aspect ratio, that should be in the 250.
Example: 250 Widescreen presentation.
Example: 250 Letterbox format.
300 The running time, usually in minutes, should be in parentheses after the Specific Material Designation. Remove (VHS), and stereo, mono. Dolby, etc., if present. They can be included in the 538 after VHS format.
300 for a VHS videocassette:
1 videocassette (30 min.) : |b sd., col. ; |c 1/2 in.
300 for a DVD:
1 videodisc (99 min.) : |b sd., col. ; |c 4 ¾ in.
NOTES FIELDS:
- The first note is the 538: Example: VHS format. Example: DVD; Dolby digital, mono.
- If the videotape is closed captioned, that is the second note, and it is considered a language note: 546: :Closed captioned.
Check to see if the appropriate subject heading is present: e.g., 650: 0:Video recordings for the hearing impaired.
Any other language notes follow. e.g. 546: :In Spanish with English subtitles.
- Next are notes about the title. First, source of title; next, variations in the title.
- 511:0_: Participant or performer note: presenters, hosts, moderators, who appear onscreen. They usually appear linked by the preposition "with": e.g., How to save money, with Jeff Davis.
- 508 Creation/Production credits note: Narrators (someone who does not appear onscreen), producers, writers, directors, editors, music, etc.
Function precedes name: e.g., producer, Jeff White ; director, Pete Williams ... Each function and name is separated by a space ; space.
Exception: Famous persons as narrators may be highlighted by being placed in a 511 instead of the 508, e.g. 511 0 Narrated by Anthony Hopkins.
See Order of notes, on the department's home page.
SUBJECT HEADING FIELDS:
Delete subject headings such as Documentary films, Videocassettes, and subdivisions |v Videocassettes, |v Audio-visual aids.
ADDED ENTRY FIELDS:
Make added entries for the persons or corporate entity/entities named in the 245 |c.
Do not make an added entry for corporate bodies named in the 260 if they only function as distributors.
Make added entries for the presenters, hosts, etc. mentioned in the 511.
Do not make added entries for technical credits--that is, the persons named in the 508: narrators, producers, directors, assistants, associates, etc.
Ib. Published - English language feature films (on videocassette or DVD):
See: (System no.809761) Titanic, as an example
In the 245 / |c the statement of responsibility is transcribed as stated either from the title frames or from the other listed sources. This statement is for the original feature film and not for the videocassette release. It should include the studio(s), production companies, and just the director. All other separate personal credits, producer, screenwriter, etc., not grammatically linked with the director, go in the 508 credits note.
If no statement of responsibility appears in the title frames, beginning or end credits, or on the other listed sources, do not make one up for the 245 |c. Check other OCLC bib records for the same feature film, or the Internet Movie Database (IMDb.com) and supply the information at the beginning of the credits note.
For Titanic the statement is grammatically linked: "Twentieth Century Fox and Paramount Pictures present a Lightstorm Entertainment production of a James Cameron film".
This means James Cameron is the director, but that information is included in 508 credits note just to make it clear: "Directed by James Cameron" ;
Things to watch for:
D/CODE For videocassette or DVD releases of feature films, the date type code is "p"
DT/1   Date one is for the videocassette release
DT/2 Date two is the date of the original motion picture since they are in different mediums/formats (motion picture and videotape/disc).
R/TIME Include the running time of the film in minutes: R/Time 194
260 This is for the videocassette release, not the original motion picture, including copyright dates.
511 1 Cast note. Include the major cast members.
650 0 Feature films. This is for films with a running time of more than 60 minutes.
650 0 Short films. This is for films running less than 40 minutes.
Also use the appropriate additional generic subjects: War films, Comedy films, etc. as additional subject headings. Delete all 655 genre headings.
Make added entries for the corporate bodies in the 245 /|c , they are the
authors of the film, the studios, production companies. Make an added entry for the director of the film and the author of the book upon which the film is based.
Effective May 1, 2005, actors appearing in the cast note will be traced.
Consider what our users are likely to search for in deciding whether to trace
other people named in the credits, such as, the producer, script or screenplay
writer, editor, cinematographer, etc. Do not trace the distributor(s) from the 260.
In copy cataloging, if any access points are removed from a record in the
local system, be sure to delete any blind authority records that result from
the removal.
University Park feature films are not classed in LC. The AV Library will assign a prefix FF and a number.
Biscayne Bay feature films are classed in LC.
Ic. Published - Foreign language feature films:
These should be screened for titles and credits on the VCR in Bob's office, or downstairs. It's the only way to be sure of the title and credits.
VHS: Look at (System no.1000322) The bad sleep well.
In this example, the title and credits are in Japanese. Sometimes English language titles and credits have been substituted for the original credits, but look at all the titles and credits. Save for bmd, is your best bet.
DVD: Look at (System no. 994375) Alphaville. This is a DVD release of a French feature film.
For DVDs, there may be more notes for the special features, including widescreen/standard if both are available.
Id. Published - Videocassette releases of television programs:
(System no. 618212) The Impact of tabloid TV. This is an example of an episode of the Donahue show. There should be a 500 note after the 511 and 508 notes. If the broadcast date is known that information may go in a 518 note.
500 Originally broadcast as a segment of the television program
Donahue.
518 Broadcast in 1994.
730 Make an added entry for the television program: 730 0 Donahue (Television program)
IIa. Unpublished - Off-air videorecordings:
See (System no. 426480) The 7 habits of highly effective people.
This is an example of a teleconference program, satellite downcast and recorded under license. There is no publisher in the 260, only the date, and a note about the teleconference, when it was recorded off the satellite.
IIb. Unpublished - Locally produced videorecordings:
See (System no. 236251) Lecture by Henry Kissinger
This is a lecture, locally videotaped. The title was supplied by the cataloger and is bracketed. The gmd has it's own brackets. Since the date of the event appears in the 245, there is no 260.
Main entry is under Kissinger, as the author of the lecture. Information about the event and its sponsors are given in notes. Subject headings were assigned liberally to cover all aspects of Dr. Kissinger's address. Please note the videotape is not vhs, but U-matic ¾ in.
Multi-part sets (whether published or unpublished):
See (System no. 781344) Russia's war.
This is a set of ten programs on five cassettes. The individual programs are listed in a contents note. In the 300 field, give the running time of an individual program, e.g. (51 min. each) rather than for the entire series.
For MARC holdings using the designation "v." , e.g. v.1-5
