Books needing Provisional Record

NOTE: This procedure can be used for any new material not found in OCLC for which a provisional record needs to be created. Ex. Title VI books, Spanish Approval books, etc. In some cases Acquisitions Dept. need a provisional record with status SUPPRESSED created to link the payment of items bought from a list, for an example of this type of record see Aleph number 1317936.

Create provisional record in ALEPH.

In ALEPH cataloging module follow steps:
  1. Click on file.


  2. Open template.


  3. Highlight template named PROVBKFI.MRC (FIU01), click on open.


  4. Fill in the template with information pertaining to your book, add TKR field that applies.


  5. Save record on server.


  6. Search title in ALEPH and add to Nav map.


  7. Create item record, set item process status "IP" which means In-process.

  8. Create holdings, add 852 subfield x that says A) "3rd lvl"; B) current or non-current; C) date; and D) any other necessary temporary information that is applicable.

  9. Write ALEPH system number on invoice or LRF (if working with approvals or LRFs).


  10. Make print out and place book on correct shelf.
