PROCEDURES FOR BIBLIOGRAPHIC PROCESSING

  1. Search LTFI.

  2. If you find a record which appears to match, check first to see if it is a DLC/DLC record [not ELvl 7] with 1) an OCLC number and 2) an at least partially complete 050 call number (subfield a). If it is not, go to the procedure for "Level II Microforms."

  3. If it is DLC/DLC with an OCLC number and a partially complete 050 call number, check the following fields to make sure it really does match:
      1. Author (& co-authors) - 100, 110, 111 (& 700, 710, 711)
      2. Title - 245 ($a Title |h [microform] : $b subtitle / $c statement of responsibility.) [Note: Check the filing indicator and proof read to make sure the title has been transcribed just like it is on the microform.]
      3. Edition - 250 - if present on the microform
      4. Publisher & date - 260 ($a Place : $b Publisher, $c date.)
      5. Main pagination - 300 (__ microfilm reel(s) ; 16 or 35 mm.)
      6. Series - 440, 490 0, 490 1 combined w/ 8XX - if present on the microform
      7. 007 - Click here for physical description fixed field for microform.

  4. Do not delete any fields that don't display to the public (e.g., 653).

  5. Proofread the contents (505) note for correct spelling and formatting.

  6. Delete 6XX _4 fields, unless there are no other subject headings. If there are no other subject headings, check with Mirtha.

  7. Also delete or convert 6XX _1 fields (children's subject headings), unless there are no other subject headings. Click here for more information.

  8. Verify the series in the Series Authority Files in LTFI. If not found in LTFI, check LTLC and derive the series from LTLC into LTFI. Click here for the procedure for deriving authority records from LTLC.

    If the series is not found in LTFI or LTLC, check the authority file in OCLC. In rare cases, you will find an authority record in OCLC that is not in LTLC. Click here for instructions for these cases.

    If it is still not found, route the microform(s) to the Head of Monographic Cataloging for the establishment of the series in LTFI. Add the following note in the copy holdings screen "Mirtha's office".

  9. Do the TAPE command. Click here for the procedure for the tape command.

  10. Check the copy holdings screen for correct display of call number and copy status code. If the bib record is for a multi-volume set, change the code from 1L to 2L (our holdings are incomplete) or 3L (our holdings are complete).

  11. Likewise, if the bib record is for a multi-volume set, create volume holdings. Click here for procedure on creating volume holdings records. For microfilms, use the term "reels" in the MARC holdings statement.

  12. Keep statistics for all titles and volumes cataloged and for all series authorities records derived.

  13. We do not make item records or barcode microforms. Thus when we're done, we give them to the person in charge of physical processing with a printout of the copy holdings screen with call number.

  14. Reels going to uref,mic should have REF MIC on 2 lines above the call number. The guides are kept at the Reference desk. The barcodes for the guides get a temporary location of uref,desk. The guides get REF MIC on 2 lines above the call number also.

  15. Reels going to GovDocs Dept. get the location code of udoc, mfm. They should be labeled with just the call number. [Ask labeling staff to format the call number vertically if possible.] The guides are shelved in GovDocs Reference with location code udoc,ref. They should have DOC REF on 2 lines above the call number.

  16. Reels getting the location code umic are now also shelved in GovDocs Dept. [They used to be shelved on a different floor; they are still kept separate from udoc,mfm reels because umic materials are usually newspapers and periodicals.] They should be labeled with just the call number. [Ask labeling staff to format the call number vertically if possible.]
