PROCEDURES FOR BIBLIOGRAPHIC PROCESSING
LEVEL I BOOKS
- Search OCLC. Click here for searching guide.
- [If you don't find a DLC/DLC record and if you are not authorized to do higher level cataloging, do record creation and place the book on the appropriate shelf for Level 2 or Level 3. If you are authorized to do Level 2 cataloging and the book is Level 2, go to the procedure for Level 2.]
- If you find a DLC/DLC (with a complete 050 call number and not ELvl 7) record which appears to match, check the following fields to make sure it really does match:
- Author (& co-authors) - 100, 110, 111 (& 700, 710, 711)
- Title - 245 ($a Title : $b subtitle / $c statement of responsibility.) [Note: Check the filing indicator and proof read to make sure the title has been transcribed just like it is on the book.]
- Edition - 250 - if present on the book
- Publisher & date - 260 ($a Place : $b Publisher, $c date.)
- Main pagination - 300 ($a - don't sweat pre-pages)
- Series - 440, 490 0, 490 1 combined w/ 8XX - if present on the book
- Do not delete any fields that don't display to the public (including 653); do not proofread the contents note; do not add plates to the 300 field.
- Also delete or convert 6XX _1 fields (children's subject headings), unless there are no other subject headings. Click here for more information.
- If the book is to go into some collection other than FIUGL/GEN, change the FXGG in the 049 field to the appropriate 4th letter.
- Add your initials.
- Update the record by clicking on the Action menu and then on Update Holdings.
- Export it by clicking on the Action menu and then on Export.
- Call up the record in ALEPH.
- Verify the series in the Series Authority Files ALEPH FIU10 or LCA10.
If the series is not found in ALEPH, window back to OCLC and check the authority file there.
If it is still not found, route the book(s) to the Head of Monographic Cataloging for the establishment of the series in FIU10. Add the following note in the copy holdings screen "Mirtha's office".
- If the record includes an 856 field, test the link by clicking on the field and click on Search and then in Browse URL.
If the link does not work in ALEPH, open the library catalog and test the link. Make sure the link is accurate with the information described in subfield 3, example: Table of contents, Full text, etc. If the link does not work, bring it to Mirtha's attention.
- Check the copy holdings screen for correct display, make sure it has 852 first indicator "0", subfield a FMFIU, subfield b sublibrary ex. FIUGL, subfield c collection ex. GEN, call number classification in subfield h and cutter in subfield i. If the bib record is for a multi-volume set, click here for procedure on creating multi volumes.
- Create the item record or records.
- Write the call number in pencil in the book on the very first page.
- For approval program books, jackets are retained. For more information

- Write the ALEPH number on the invoice beside the correct title.
- Keep statistics for all titles and volumes cataloged and for all series authorities records derived.
- Take books to the labeling area to be labeled and for final physical processing.
