MARC Holdings: draft policies

The only character we care about is the 7th character (position 6--the count starts with 0). For monographs it should be x for single-part and v for multi-part; for serials it should be y.

DRAFT Aug. 2, 2006: Policy on 008 field in HOL record:

For single-part monographs, don't edit any of the codes!

For serials, check the 7th character (position 6). For on-going serials, the code should be 4, which means currently received. For ceased serials, etc., check the codes from the Help on Field screen.

For serials and multi-part monographs, don't worry about any codes until the 23rd-25th characters (positions 22-24), which is the language code. You won't need to count, the code will be obvious and should be corrected if wrong to match the 3-letter language code of the bib--eng, spa, etc.

DRAFT Sept. 13, 2006: Policy on 866/867 field in HOL record:

Monographic cataloging: We will use 866-868 fields instead of the Caption & Pattern fields (853-855) and the Enumeration and Chronology fields (863-865).

The indicators for the 866 will be 41.

The first subfield will always be subfield 8 and it will contain a 0 [zero].

We have made several basic policy decisions about how to handle missing issues--referred to as "gaps" in holdings.

  1. We will use multiple lines to record our holdings.
  2. We will use a comma at the end of a line to indicate that we are missing an issue and a semi-colon to indicate that the missing issue was never published.
  3. The Serials Unit has decided that they will continue to use a "missing issue" note to specify what is missing.

The 867 field will be used for accompanying materials, such as discs accompanying books, when the book and disc are described by just one bibliographic record.

The indicators for the 867 will be 30.

The first subfield will always be subfield 8 and it will contain a 0 [zero].

If there is more than one accompanying material (e.g., 1 CD-ROM + 1 study guide (457 p. : ill. ; 25 cm.)), put them into one 867 field and separate them by a plus sign, separated by spaces.

Example:

The important thing to remember is that in the MARC holdings, catalogers are providing the labeling staff with the pattern that they need to follow on the labels. Thus, if there are 3 CD-ROMs, they should be labeled disc 1, disc 2 and disc 3.

The 868 field will be used for an index which accompanies a book or set of books, when the book(s) and index are described by just one bibliographic record.

The indicators for the 868 will be 30.

The first subfield will always be subfield 8 and it will contain a 0 [zero].
