Ephemeral Cities
Use this search to bring up our records: LTQF fi lcn=EPC and k856=FI?
This search limits us to those EPC records created by FI.
[A similar search works for Milemarkers: LTQF fi loc=MILE and k856=MM? With this search, you get one fewer hit than searching LTQF fi no=MILE. The one extra record was created by UF for the series title: Milemarkers |h [electronic resource] : |b linking Keys history.]
My understanding of the basic principle for cataloging these items is: The QF record will be whatever format is appropriate for the original—monograph, serial, photograph or realia--and the 006 & 007 fields will bring out the electronic aspect of the item.

Workflow for Ephemeral Cities
If the item is visual material (photographs or realia), MFX will be used to create a brief MARC record which will be cleaned up and completed later by Cataloging.
If the item is textual—even if FIU does not own the text—Cataloging will create a record in NOTIS before the text is digitized. If time permits, a fairly complete record will be created; if time is tight, a brief record will be created and, after digitization, the text will be returned to Cataloging so that the record can be completed.
Question: how are we going to handle and what is our responsibility for cataloging textual materials not scanned by us—that is, scanned by Anne and crew at Monroe Co. Pub. Lib.?
MARC fields for Ephemeral Cities
If the QF record was based on a record for a hard copy with an OCLC number, check the following fields:
010 Delete the 010 for the hard copy
019 Watch for 019 fields and delete them if found
035 Cut the 035 for the OCLC number and put it into a 776 field.
Example: 776/1:1 : |c (Original) |w (OCoLC)50336842
035 Delete any other 035s that are no longer appropriate for the QF record.
040 Edit the 040 so that it reads FXG |c FXG.
049 Edit the 049 so that it reads FXGG.
050/90 Delete 050 or 090 - records in LTQF will not have call numbers.

If you are creating a Notis record from scratch, the command to start a book records is: ltqf new b
You have to fill in the fixed field and have some sort of author (1XX or 7XX).
Fixed field:
REPRO (aka Form in OCLC): s
T/AUD (aka, Audn in OCLC): [blank]
006
006 Add the 006 field to NOTIS by going to bottom of screen & keying in 006m and hit enter until done.
006 TYP m T/AUD [blank] CF/TYP d GOVT s
TYP m is for electronic
T/AUD is target audience
CF/TYP is Type of Computer File (File in Bib Formats) - “d” is for document; “c” is for photograph
GOVT s
NOTE: I don't believe 006 is used for realia.
007
007 Add the 007 field for Computer file to a Notis record, go to bottom of screen and key in 007c and hit enter until done; for a Photograph, key in 007k.
007 For computerization aspects: GMD c SMD r O/R ? COLOR c or g [see below] DIM n SOUND
GMD c is for computer file
SMD r is for remote
DIM n is for not applicable (dimensions)
NOTE: the O/R ? will remain
SOUND will remain blank
COLOR c = multicolored; g = gray scale
If we do any photographs [or realia?], we need TWO 007 fields.
007 For photographic aspects: 007 GMD k SMD h O/R ? COLOR ? BASE ? S/SUPP ?
GMD k is for Nonprojected Graphic
SMD h is for photoprint
Other variable fields:
035 For project group: Example: 035:: (DNX)EPC S FI 2004-08-18
Tentative plan: We will change the S to P when the hotlink has been added; then change again to a C
when we upload to OCLC. Also, even though we're double coding in 852, we will do an 035 for EPC
only.
035 FIPS code: Example: 035:: (snx)FIPS12087
043 should all have Florida subject headings, thus: 043:: n-us-fl
245 add $h [electronic resource]
520 2_ [Preferably we will be given text for this “scope & content” field; if not, we may or may not attempt to create text.]
535 1 This is the text we will use if material belongs to the Key West library: 535:1 : History Dept., May Hill Russell Library; |b 700 Fleming St., Key West, FL 33040.
If it is an item owned by a Key West resident and we have a signed consent form, we may enter the info in this field.
533 NOTE: If Monroe Co. does NOT own the material, just quit after the word "University":
533:: Electronic reproduction. |b [Florida] : |c State University System of Florida, PALMM Project, |d 2004. |f (Ephemeral cities) |f (Florida heritage collection) |n Mode of access: World Wide Web. |n System requirements: Internet connectivity; Web browser software; Adobe Acrobat Reader to view and print PDF files. |n Electronically reproduced by Florida International University from material owned by the Monroe County Public Library System, Key West, Florida.
539 for a monographic record: 539:: |a s |b 2004 |d flu |e n |g s
540 For rights statement, use this text: 540:: Internet distribution rights are extended by the owner of the original to PALMM for use in the Ephemeral Cities project. This image may not be commercially reproduced without permission.
598 10-digit file number starting with letters FI followed by 8 digits. [In Milemarkers, this duplicated the file number found in 035 (IID) field but I think the MFX program adds the 035.]
