Coding Authority Records for Heading Use
![[rainbow bar]](/~catalog/rain.gif)
After the record has been derived or exported from OCLC change the code in fixed field elements NAME, SUBJ and SER to turn on the cross-references according to the usage of the heading in LTFI database.
a appropriate for use
b not appropriate for use
c appropriate and has been used
For example the authority for Shakespeare, William, |d 1564-1616 would need a code "c" for NAME and a "c" for SUBJ because it has been used as author and subject in LTFI database, and a "b" for SER because it is not used as a series. See below:

Special instructions for Series
1. If the 645 field is coded "t" that the series is traced, then code SER c
2. If the 645 field is coded "n" for series not traced, then leave code SER a
3. If there is no 645 then look for a 667::"Give phrase as a quoted note." If this note is there, code SER b.
NOTE: In the fixed field elements NAME or SUBJ the code "c" has a double function, it not only means the heading has been used, it also activates the display of the cross-references and reference notes in Webluis and public mode.
Example: for the heading Shakespeare, William, |d 1564-1616, if it was not used in LTFI as author it would need an "a" code for NAME, in that instance when the patrons were searching for Szekspir, Wiliam, |d 1564-1616 in the public mode or Webluis they would get the message "No matches found for the search term(s) you entered!". If we change the code for NAME to "c" even if LTFI does not have William Shakespeare as an author, when the patrons search for Szekspir, Wiliam, |d 1564-1616 they would get the message: "search under: Shakespeare, William, |d 1564-1616" which is the correct form of name.
