CD Cataloging (when no record is already in NOTIS)

  1. Search OCLC for a matching record. Click here for checklist of matching fields.

  2. Use one of 3 constant data records: mono, stereo or unknown. Check the 300 field for indication of mono vs stereo. Then type:
    acd 7m var
    acd 7s var
    acd 7u var
    These constant data records will add the appropriate 007 field, change the 049 field from FXGG to FXGD [cd], and add a call number template, a tickler, and your initials in a 599 field. NOTE: If there is already a 007 field, you will have to delete the old one.

  3. Check to see if the access points are adequate. Add any that are needed.

  4. Check the 245 for a) the correct filing indicator, b) square brackets around $h, and c) correct subfielding.

  5. Make sure there’s a 500 note that says: Compact disc.

  6. Update and export the record (u f11 & xpo f11)

  7. Use WinONI to move the record into NOTIS. [Use the ONI profile that sets the Status to h.]

  8. Go to NOTIS and call up the record.

  9. BAM the record using CLARR. Resolve any authority problems revealed by CLARR and derive any needed authority records. Click here for additional information on CLARR.

  10. Remove the angle brackets from $h.

  11. If there is more than one disc, create MARC holdings. Click here for information on MARC holdings.

  12. If there is more than one disc, change the Copy Status Code on the Copy Holdings Screen from 1Y to either 2Y (our holdings are incomplete) or 3Y (our holdings are complete).

  13. Count the number of new titles and new volumes on the Cataloging Monthly Statistics tally sheet and count the number of authority records derived on the tally sheet for the Authority Control Section.

  14. Pass the CD to AV Department staff for barcoding, item record creation, assignment of accession number and processing.
