Cataloging Materials from Backlog

Record is already in ALEPH

  1. Search Aleph to make sure there is just one copy of the book in our database with our "own" code, which is FI as opposed to LI for the Law Library.


  2. Search the title in OCLC.


  3. Catalog as usual.


  4. Copy the ALEPH bib system number of the record you plan to overlay. Paste the number into a 599:9_: (that is 599 first indicator 9) field in the OCLC record. (C&p only the significant digits; not the leading zeros.)


  5. EXAMPLE: 599:9_: 35932

  6. Update holdings.


  7. Export record by clicking on the E icon or click on Edit menu scroll down and click on Export or just click on Ctrl F3.


  8. Check ALEPH to make sure that 1) the record overlaid the correct ALEPH bib record, 2) the Item Record has the correct Item Status and Material Type, 3) There is an 035:9 : field with the Notis number (if the record was created prior to migration), and 4) the Holdings Record has the correct indicator in the 852 field and A) remove subfield X note that says "2nd lvl" or whatever and B) remove subfield Z note that says "In Process."


  9. Change the Item Processing Status from "In Process" to [blank] which means "not in process."
