Policy for Accompanying Material (other than computer disks)

This policy applies to items (other than computer disks) that accompany a book, videorecording, computer file, or other bibliographic entity excluding serials. Examples include teacher's manuals, workbooks, pamphlets, etc. that are published at the same time or at a later date.

The rules that apply here are AACR2/rev. 1.5E1 and LCRI 1.5E1 [Rev.].

  1. Create or use a separate bibliographic record for the accompanying material:
    It is issued at a different time than the main work, has significant differences in title, has different statements of responsibility, OR a different publisher than the main work.


    Call number/spine label:
    Assign a call number to the main work and then extend the cutter of the same number for the accompanying material so it will sit next to it on the shelf.

  2. Add the accompanying material in the |e subfield of the 300 field :
    The main work and accompanying material were issued at the same time by the same publisher has the same author or the accompanying material has no author, and the accompanying material has a generic title like "teacher's manual," "workbook," etc.

    Call number/spine label:
    Assign a call number for the main work. Add a word or phrase to the call number of the accompanying material to designate its generic nature. Abbreviate words longer than 8 characters. Ex. Teachers manual, Instr. manual, etc.

    If accompanying material for a title includes more than one kind of manual, guide, workbook, etc., differentiate them using the appropriate abbreviated term. For example:.

    Compact discs and videorecordings are not treated as accompanying material for the FIU collections. They are cataloged separately.

    Item record:
    Record the word or phrase used above (eg. manual) in the ENUM/CHRON area of the item record for the accompanying material.

    Holdings Record:
    Create holdings record with two fields:

  3. Add the accompanying material in a note per 1.5E1c) if:
    The main work and accompanying material meet the same criteria as #2 above but accompanying material has a distinctive title instead of a generic one. Make an added entry for the title.

    Call number/spine label:
    Assign a call number for the main work. Add the words "Accomp. Material" to the call number for the accompanying material.

    Item record:
    Record the phrase "Accomp. Material" in the Enum Level.1(A.)(Vol.) and Description area of the item record for the accompanying material.

    Holdings Record:
    Same as above but use "Accomp. material" in 867
